Are you thinking about Affordable Care Act (ACA) compliance? If you use Dynamics GP and outsource your payroll functions, perhaps it has not really been on your radar. But it should be. Because now is the time to evaluate bringing payroll in house.

Who needs to do ACA reporting?
If you are a company that in 2015 has 100 or more full-time employees, or full-time equivalents (50 or more in 2016), then you need to meet new federal requirements and document the availability of health insurance to your full-time employees. You will have to do that on the new IRS Form 1095-C for every one of your full-time employees. (If you’re self-insured, you will have to do that for all your employees.) And then you will have to file the transmittal, Form 1094-C, with the IRS.

Form 1095-C is due to employees by February 1, 2016. Form 1094-C is due to the IRS by February 29, 2016 (March 31 if you are e-filing).

The IRS does not care if your payroll is outsourced or done internally- but you should!

If you outsource Payroll:

  1. Ask your payroll service provider what they are going to charge you for ACA reporting, and whether they’ll be able to generate Form 1095-C (for employees) and its transmittal (Form 1094-C) for the IRS. Are they going to charge based on employee count? Per transaction?
  2. Evaluate the potential cost savings of bringing payroll in-house.Payroll functions are now included in your core Dynamics GP use licenses at no extra cost. This could save you thousands of dollars each year in fees.Instead of waiting to find issues on annual reports, running payroll internally with Dynamics GP and Sypnio for ACA allows you to do monthly forecasting which can act as a “penalty-management tool” for workforces with a lot of hourly employees with varying schedules.

If you process Payroll internally in Dynamics GP:

Familiarize yourself with your ACA reporting options:

  1. Use the basic built-in ACA reporting functions in Dynamics GP – available in GP 2013 and GP 2015 only. (Need a Dynamics GP upgrade?)
  2. Add an ACA reporting add-on product from Sypnio or Greenshades. These tools give you more advanced features which save you time (and possibly help you avoid penalties). Plus, you have the option to stay on older versions of Dynamics GP, if required.
