Microsoft Dynamics GP can help you stay organized with to do lists and reminders. Part 3 in this series about customizing the Dynamics GP home page shows you how to set up and use reminders and tasks. You can set up one time or reoccurring tasks for yourself, or assign tasks to other users.  These tasks can be linked to a Dynamics GP window or to an external website or file. You can also set up predefined or custom reminders. For example a reminder to show you all the payables that are due before a specific due date, or the accounts receivable that are 90 days past due. This is Amber Bell from CAL Business Solutions. Today’s topic is how to customize the Dynamics GP home page using the reminders and tasks.

So on our home page, the to-do section here contains both the reminders and the tasks. We’re going to talk about tasks first. So the tasks can be set up to link to a GP window. We’re going to go ahead and set up a new task, and here what I’m going to do is say I need to close last month’s fiscal period, so what I’m going to do is go ahead and say I want to have a link to a GP window. Then I get this blue arrow. I’m going to click the blue arrow, go to tools, setup, company, fiscal periods.

But maybe this isn’t something that I’m going to do. I’m going to have someone else do it, so I can assign it to someone else. In this case, I’m going to leave it assigned to me, and we’re going to make it a recurring task that’s done every month on the 15th. So we’re going to click okay, and we’re going to click save, close, and then we’ll close this. If it was the 15th, you’re going to see all the items that are due by the 15th, and I have a couple other things that are due now. If I click this, click the blue name, now I have my task pop up right to that window.

Now, I could have had this linked not only to a GP window, I can also link to a web page or an external program or file. So I could have my user update a spreadsheet or fill in a Word document or form. All of that can be done off of these tasks. We’re going to go ahead and close this.

The next thing is the reminders. There are two types of reminders. I’m going to click new reminder. The top half are the ones that are predefined. I can say, “show me the payables that are due before they’re due”. I can also say, “tell me about AR that are past due”, so maybe I want to see anything that’s 90 days past due and display that as a queue. We’re going to take a look at that, and we’re going to go ahead and click okay for right now, and I’m going to say refresh, and now I can see my overdue invoices, and I can also see the other reminders.
