Shared subassemblies across many finished goods. If the same subassembly or routing group appears in dozens of parent BOMs, a phantom lets you maintain that structure in one place. Update the phantom’s BOM, and the change flows through everywhere it is referenced. No mass editing required.
Common routing templates. Some manufacturers use phantoms that contain only operations, not materials. This gives you a shared routing block you can drop into multiple parent BOMs. Change a work center or time estimate once, and it updates across every product that references that phantom.
Simplifying MRP planning. On a planning BOM, phantoms let your planning team skip over intermediate assemblies and plan directly to components. This is useful when you produce high volumes with many configuration options and do not want MRP generating unnecessary subassembly orders.
Reducing work order clutter. If a subassembly is always built inline with the parent and you never stock it independently, a phantom eliminates the extra work order. Your shop floor sees one ticket instead of a chain of linked orders.
How Do Acumatica Phantom Routing Options Work?
When you set a material type to Phantom on a BOM line in Acumatica, you will also choose a Phantom Routing setting. This controls how the phantom’s operations get inserted into the parent production order.
Before means the phantom’s operations are added before the parent operation where the phantom appears. This is the default and the most common choice when the subassembly work needs to happen first.
After adds the phantom’s operations after the parent operation.
Exclude pulls in the phantom’s materials and costs but does not add the routing operations to the production order. This is useful for non-stock charges or cost items that do not require physical shop floor steps.
Getting this right matters. If you choose the wrong setting, your operation sequence on the production order will not reflect the actual build flow, and that creates confusion on the floor. When Are Phantoms the Wrong Tool in Acumatica?
Look, phantoms are not for every situation. Here’s what drives me crazy: teams that use phantoms when they actually need a separate work order and a real stocked subassembly.
If you need to track inventory for the subassembly, build it independently, or control quality at the subassembly level before it feeds into a parent order, you want a regular stocked component with its own production order. A phantom will not give you that. It will not create a separate work order, and it will not generate a separate inventory receipt for the subassembly.
The rule of thumb: if you would ever pull that subassembly off the shelf as a standalone item, stock it, or inspect it before it goes into the finished good, it probably should not be a phantom.
Setting It Up in Acumatica
The configuration is straightforward. On the Bill of Material (AM208000) form, open the parent BOM and navigate to the Materials tab. Add your subassembly as a material line. In the Material Type field, select Phantom instead of Regular. Then set the Phantom Routing to Before, After, or Exclude based on where those operations need to land in the production order.
That is it. When a production order is created for the parent item, Acumatica handles the explosion automatically. The phantom disappears, and its components land exactly where you told them to.
