How Do You Customize Widgets and Layout in Acumatica?

A dashboard in Acumatica is built from selecting widgets to place on it. Each widget pulls data from a generic inquiry, a KPI calculation, or a pre-built data view. You can mix and match: bar charts for trend data, pivot tables for summarized financials, data views for line-item detail, and KPI tiles for single-number metrics like open POs or cash on hand.

The modern Acumatica interface makes rearranging these widgets genuinely fast. Just drag, drop, resize, and reorder without wrestling with the layout. Maybe you need to put the overdue AR widget above the cash forecast instead of below it? No problem – done in seconds.

Color conditioning is worth calling out specifically. You can set rules that flag a widget red when a value crosses a threshold, say, when days sales outstanding climbs above 45 or inventory drops below a reorder point. Your team stops reading and starts reacting. The dashboard does the monitoring, so you don’t have to.

Workspaces are the menus on the left side of the screen. Each workspace covers a functional area: Receivables, Payables, Inventory, Manufacturing, and so on. By default, every workspace shows every form, report, and dashboard tied to that module.

That sounds helpful, but it isn’t. For example, an AR clerk doesn’t need access to 40 screens in the Receivables workspace. The clerk needs five, maybe six. Showing all 40 creates noise and slows them down.

Workspace setup lets you control what appears and in what order. Tiles at the top of a workspace can be configured with preset parameters so users can launch common tasks with a single click. A tile labeled “New Invoice” drops them directly into a new invoice form. A tile labeled “Overdue Accounts” opens a filtered view of past-due customers, with no extra navigation required.

Users can also personalize their own view without affecting anyone else. They can hide sections they never use, star their most-used screens as favorites, and pin or unpin the left navigation panel. According to Acumatica’s documentation on workspaces, these personal changes exist at the user level, so they don’t override company-wide configurations.

How Do Role Centers Control What Each User Sees in Acumatica?

Role centers determine which dashboards and workspaces a user lands on when they log in. They’re tied to security roles, which means Acumatica dashboard customization at the role level affects everyone in that role at once.

Let’s not fall into the bad trap of configuring one dashboard, assigning it to everyone, and calling it done. That doesn’t work. You don’t want the controller, the warehouse manager, and the sales coordinator all seeing the same screen. None of them find it useful because it wasn’t built for any of them specifically.

The right approach is to build dashboards by job function and assign them to the corresponding role. Your AR clerk gets the AR clerk dashboard. Your controller gets the controller’s dashboard. Your warehouse team gets inventory KPIs and open purchase orders. Each person logs in and sees a screen that reflects their actual job.

Before dashboard parameters existed in Acumatica, teams built a separate dashboard for every slice of data they needed to see. A sales manager with 20 reps needed 20 dashboards. That’s a maintenance nightmare.

Parameters solve this. You build one dashboard with a filter field at the top. The sales manager sees aggregate data by default, then filters down to any individual rep with a single selection.
