The Acumatica prepare payments screen is a way to be able to define some parameters for a particular cash account in payment method so that the Acumatica system suggests what you should pay based on the parameters that you have defined. While you can do payments one by one, you can use this feature to apply some logic so that the Acumatica system will suggest what you pay based on choices such as due dates or cash discount dates.

“The prepare payment screen is a way to be able to define some parameters for a particular cash account in payment method so that the system suggests what you should pay based on the parameters that you have defined.
So we’re going to say we’re paying everything by check for cash account 1020. Here, if I say I want to pay everything that’s due within, let’s just, say one day, it’s going to go out. And you could do “due date”. You can see my list refiltered because not all of those open bills met that criteria, so it filtered out what didn’t meet that criteria down in that list. And I can go ahead and I can make a selection here. It’s going to tell me if I select them all, what the total amount is, which is nice, because you’ve got your available cash balance, and as you select, it’s calculating what the total amount of all those payments that you selected are. And here you can then just process and print them all at once.
So while you can do payments one by one, you can use this prepare payments form to apply some logic so that the system will suggest what you pay based on due dates or cash discount dates, things like that.”
