2008 is winding to a close. I cannot believe it almost 2009!! What a year it has been. We know that the volatility of the economy has affected many of you in a very personal way. We hope that next year will be better. I know all of us love finding ways to save money. I wanted to take the time to point out many of the FREE resources we include on the CAL website. Using Microsoft Dynamics GP to Improve Preparation for an Audit: Four Approaches

 


A major topic of discussion at the GPUG Summit 2008 last week was how to prepare for audits.  Here are some of the highlights:

 

1. Going paperless, streamlining processes
Creating a paperless office isn't just about going green. It's about streamlining processes, cutting costs, and ensuring that all your paperwork is in order when it comes time for an audit. 

 
2. Control security access
No company is immune from cost-intensive and oftentimes lengthy audits. Using a role-based implementation plan can help control security access in different modules, which can ultimately prove an asset at audit time. this area to enter your own content.

 

3. Locking down roles with Fastpath
Fastpath (click for demo) allows a system administrator to use Active Directory to give every user a single sign-in, for both their computer, and Dynamics GP. When an auditor wants to know who had access to certain tasks, it's possible to search based on roles and access. With an audit log built in, FastPath can help organizations prepare for an audit by both locking down access to roles and activities, and then making it easier to quickly create a report when required. 

 

4. Accessing field changes
With so many fields in Microsoft Dynamics GP, it's no surprise that information is constantly being edited, updated, and even deleted. During an audit, it can be difficult to track these changes and then report them in a timely manner. Rockton's Auditor product allows an administrator to track and report changes made by users within GP.

Dynamics GP Enhancements

Company Data Archive - Improve System Performance.

 

Company Data Archive (CDA) provides an easy way to move historical information from your 'live' company to another 'archive' company. Archiving your data will reduce the size of your live company database and improve system performance while posting, running reports, performing file maintenance, and day-to-day use of Dynamics GP.


Company Data Archive allows you to enter in a cutoff date for historical data and all transactions on or before that date will be moved to the archive company. The archived transactions will still be available to inquire and report on by simply logging into the archive company as you would any other Dynamics GP company or take advantage of powerful cross company inquiries to view transactions from your live and historical companies at the same time.

 

The archive can also be performed periodically - for example on a quarterly or annual basis.

CDA will archive data from:

  • General Ledger
  • Bank Reconciliation
  • Receivables Management
  • Payables Management
  • Inventory
  • Purchase Order Processing
  • Sales Order Processing
  • U.S. Payroll

Economic Stimulus Act of 2008



Increased Section 179 Expensing for businesses: Now up to a maximum of $250,000 in 2008, and 50% first year bonus depreciation: IRS provision applies to software placed in service before January 1, 2009.

  • Drive business productivity up
  • Enjoy current year tax savings
  • Improve current year profitability and cash flow while leveraging the benefits of increased future productivity that results from the deployment of new software.

Here's an Example of How it Works:
Spend $300K on software. Software is treated under tax law as having a 3-year recovery period for depreciation purposes.


Bonus depreciation on $300,000 at 50% is $150,000.00; an additional $50,000 is allowed representing 1/3 the remaining $150,000.


Total tax depreciation for 2008 is $200,000!
2008 tax savings is $64,000.00 ($200,000 x 32%) assuming a 32% marginal Federal Income Tax rate.

 

Without bonus depreciation: A business could only claim depreciation in the first year of $100,000 (1/3 of $300,000).
